Terms of service for organisations using the shipping portal

DRAFT — under review, version 2026-09-25. Not reviewed by a lawyer and not in force. Business-to-business only; nothing here is written for consumers. Points still to be settled are marked <<DECIDE>>.

Motif Labs, a sole proprietorship (eenmanszaak) of Mike Bonenkamp, trading as Pikamon EU and Heimdall TCG, Molendijk 3A, 4156 AR Rumpt, the Netherlands, Chamber of Commerce (KvK) 72633565, VAT NL002417068B69, info@pikamon.eu ("we"), and the organisation that has an account on the portal ("you").

1. What the service is

A web portal at ship.pikamon.eu for preparing and buying parcel labels. It reads your orders, compares carrier rates, buys the label through our Paket International account, and produces the label, the packing slip and — for parcels leaving the EU — the customs invoice.

We are not a carrier and not a freight forwarder. We buy a label through our own carrier account and resell it to you. The contract of carriage is between the carrier and the shipper named on the label, which is you.

2. Your account

3. Your shipping identity

You give us your sender address, your registered legal name, your EORI number and your VAT number, and you keep them correct. They go on the label and on the customs declaration.

You are the exporter on your own parcels. You declare what is in them and what they are worth. We print what you tell us; we do not check it. A parcel leaving the EU cannot be bought until the legal name, EORI and VAT number are filled in — the portal blocks it, because a declaration without them is refused at customs.

4. Acceptable use

You use the portal only to ship your own business's parcels. You do not:

Prohibited goods. Everything the carrier that carries your parcel allows, and nothing it does not; its terms apply to your parcel, and prohibited and dangerous goods are the carrier's to define. In any case never: cash, bank cards, precious metals or stones, valuables beyond the insured amount, live animals, weapons, ammunition or parts, explosives, batteries or other dangerous goods unless the carrier's service expressly accepts them, drugs or prescription medicines, counterfeit or infringing goods, and anything whose export or import is restricted or sanctioned.

If one of your parcels breaks the carrier's rules and the carrier fines, surcharges or suspends our account for it, that is yours to pay — §8.

5. Buying labels through our carrier account

6. Surcharges and claims are passed through

7. Prices, billing and payment

Prices, our fee, invoicing and payment terms are set out in a separate agreement between you and us. The portal does not bill you itself yet. All prices exclude VAT; you give us a valid VAT number and tell us if it changes. Late payment carries the statutory commercial interest (article 6:119a of the Dutch Civil Code) and reasonable collection costs.

8. Liability

9. Availability and support

10. Suspension

The portal has a switch that stops label buying for one organisation. We may use it immediately, without notice, if: an amount you owe us is overdue under the separate agreement; the carrier account is at risk because of your shipments; we are told your parcels break the law; or a sign-in is being abused. We tell you why the same day and switch buying back on when the cause is gone. Labels already bought are unaffected.

11. Term and termination

12. Data protection

The data processing agreement is part of these terms. You are the controller of your buyers' personal data; we process it only to run the service for you. The sub-processor list names everyone we pass it to.

13. Confidentiality

Neither side passes on the other's non-public information. Your order volumes, your buyers and your rates are yours.

14. Changes

We may change these terms on 30 days' notice. If a change is materially worse for you, you may end the service before it takes effect, at no cost.

15. Law and courts

These terms are governed by the law of the Netherlands. Disputes go to the competent court in <<DECIDE: Rotterdam?>>. The UN Convention on Contracts for the International Sale of Goods (Vienna, 1980) does not apply.
